A System to Monitor the Movement of Files and Papers
Despite all the automation which has taken place around us ,it is still the papers and files which form an integral part of our office environment. One of our major problems is to keep track of files and papers in large offices. Although we have an elaborate system of issue and receipt registers and log books, it is a difficult problem to track the movements of the papers among various offices it goes to.
FileTracker is the software to do just this. Its main objective is to replace the manual record keeping system for files and letters with a more efficient paperless automated system. The other objectives of the system are to provide necessary inputs to the decision makers about work studies, providing an efficient monitoring of pending issues, It also provides an efficient way to search the letters or files and to ascertain their present status.

It is completely menu-driven and user-friendly with GUI. It is also bilingual. You can enter file details either in Hindi or English or even a combination of both the languages.

While it is an automated system in its operation, it completely simulates manual system procedurally. Hence it does not require any new coding or classification.

Details of files/letters to be entered only once/at one point saving typing/writing efforts of all subsequent offices.

Extensive data validation built in , reducing chances of wrong or inaccurate entries.

Monitors the disposal of important letters/files with the added provision for creating new monitorable categories.

Though desirable, it does not require each office in the network to use computer. Even the single office can use the system stand-alone. Hence it is easy to implement incrementally.

The system is being successfully used in large number of offices in the state Secretariat at Ranchi. The data is kept at a single server thus ensuring ease of maintenance and also central search facilities and inter-departmental movement of files and papers. An elaborate system of privileges is in place consistent with the need and authority to monitor the movement. For example, the Chief Secretary is able to see the movement of any file of any department while the Secretary of a department will be able to see the files and letters of his/her department. |
